Spartan Mail: Setting Calendar Permissions

These instructions help you allow other MSU team members and Spartans to see more information -- than just free or busy -- about your Spartan Mail calendar events. You can set an overall default permission for all Spartans (Your Organization) or add individuals and designate special access for them.

If you choose to change these settings, be sure to mark individual meetings or appointments as "private" if they should not be viewable by others.

Instructions vary slightly depending on the version of Outlook you are using.

Outlook Desktop App

  1. Open Outlook and go to the calendar module.
  2. On the side menu, under My Calendars, find and right click the calendar that has your email address. Then select Sharing Permissions.""
     
  3. In the Calendar Properties window make sure the Permissions tab is selected at the top. Then either select My Organiziation (if you want to share your titles and locations with all MSU), or click Add to find and select an individual for specific permissions.  Uploaded Image (Thumbnail)
     
  4. In the directory, search for the person you want to share permissions with. Find and select them, then click to Add them. Click Ok.Uploaded Image (Thumbnail)
  5. In the Calendar Properties menu, select the person you are sharing with, set a permission level.
    Can edit allows them to see any of your calendars, modify, add or delete appointments. Note: When you allow editing, you will also have the option whether or not to allow them to see any calendar events that are marked Private by you.
    Delegate can only be assigned to your primary calendar (not additional ones you have created). However, they can also respond to meetings on your behalf.

  6. The person you shared your calendar with will get an email. When they open it, ask them to Accept it.""
  7. In their Outlook, if they go to the Calendar module and look along the left side menu, your calendar should now be listed under My Calendars.
  8. They can select it to view it and will be able to see and do what you gave them permission to.""
  9. All set! Celebrate.
